This Privacy Policy explains how IFIRM (“we”, “our”, “us”) collects, uses, discloses, and protects information when authorized users access our mobile and web applications and related services (the “App”). The App is provided to your organization and is intended for internal business use only.

1. What this app does

IFIRM helps teams to streamline projects and drawings workflows (submission, checks, approvals, revision requests, logs, and notifications).

2. Information we collect

We collect only what is necessary to deliver the features enabled by your organization.

  • Account & profile: name, work email/ID, role (e.g., admin, head, manager, employee), project/assignment relationships (e.g., project head/manager).
  • Usage & diagnostics: in-app actions (e.g., attendance events, approvals), timestamps, and error logs for reliability and security.
  • Files & content (Projects/Drawings): filenames, metadata, revision history, audit logs.

3. How we use information

  • Verify and record attendance and working hours.
  • Support project/drawing workflows (submit, check, approve, request revisions) and send notifications.
  • Maintain audit trails and security monitoring.
  • Operate, analyze, and improve the App.

4. Legal bases (where applicable)

  • Legitimate interests: securing attendance integrity, site safety, and operational auditing.
  • Contract: delivering services to your organization and end users.
  • Consent: when required for device permissions (e.g., camera/location). You may withdraw by revoking permissions in device settings; some features may then be unavailable.

5. Sharing & disclosure

We do not sell personal information. We may share:

  • With your employer/organization (attendance records, assignments, approvals, logs).
  • With vetted service providers (e.g., hosting, push delivery) under contractual data-protection obligations.
  • For legal reasons (to comply with law, enforce terms, or protect rights, safety, and security).

No third-party advertising networks are used in the App.

6. Data retention

  • Attendance records: retained per your organization’s HR/record policy.
  • QR tokens: expire within seconds; minimal audit logs may be retained.
  • Optional selfie images: retained for the configured audit window (e.g., 30–90 days) and then deleted, unless needed for an investigation.
  • Project/drawing logs: retained as required for operations and legal compliance.

When retention periods end, we delete or de-identify data.

7. Security

We implement industry-standard safeguards (encryption in transit/at rest, access controls, and audit logging). No method is 100% secure, but we regularly review and improve our controls.

8. Your choices & rights

  • Permissions: manage camera/location in device settings; disabling may limit attendance features.
  • Access/Correction/Deletion: contact your HR/admin or IFIRM support (see Contact) and we will work with your organization per law and policy.
  • Do Not Sell/Share (where applicable): we do not sell personal information.

9. Children’s privacy

The App is for authorized adult employees/contractors only and is not directed to children.

10. International transfers

Depending on hosting arrangements chosen by your organization, data may be processed in other countries. Where required, we apply appropriate safeguards (e.g., contractual protections).

11. Changes to this policy

We may update this Privacy Policy from time to time. If material changes are made, we will notify you in-app or through your organization. Your continued use of the App after changes indicates acceptance.
